About the Role

Writers in the Schools (WITS) seeks a Development Associate to play a key role on our development team. The position requires an extremely organized and attentive individual with strong writing and communication skills. The ideal candidate is a team-oriented, data-driven development professional who takes initiative, can manage multiple projects at once, maintains impeccable records, meets deadlines, and supports event planning. The Development Associate will work closely with the Development Director to support all development activities, with a primary focus on donor database management, enhancing operational efficiency, tracking key development metrics, and measuring organizational impact. The Development Associate will also work with the Grants Manager, supporting all funder relationships (i.e., grant applications, LOI’s, and reporting, contact information, and tax letters).

Qualifications

  • Bachelor’s Degree (Required)

  • Knowledge of Donor Database management, preferably Salesforce or equivalent CRM systems (Required)

  • Demonstrated experience of strong analytical and data management skills (Required)

  • Applicants should have access to reliable transportation in or around the Houston area and be able to come into the office as needed to complete in-person tasks (Required)

  • 1 year of nonprofit work experience or relevant experience organizing data or projects (Preferred)

  • Experience with fund development strategy and donor cultivation (Preferred)

  • Experience planning special events (Preferred)

  • Outstanding written and oral communication skills (Required)

  • Ability to work evenings and weekends as needed (Required)

  • Proficiencies using Microsoft Office Suite, Asana, Adobe, Canva, Mailchimp, or similar communication platforms (Highly Preferred)

Responsibilities

Event Planning and Execution:

  • Plan and support donor cultivation events with the Development Director and other departments

  • Provide primary support to plan and execute the annual benefit, achieving a gross revenue goal of $200K+

Donor Management and Relationships:

  • Support the Development Director with building and maintaining relationships with current and prospective donors through regular interactions and correspondence, active stewardship plans, and assisting with prospect reporting

  • Create campaigns in the database, log outreach, and assign tasks

  • Provide monthly reports on prospects, affiliate relationships, and develop coherent summaries within profiles

  • Conduct thoughtful interaction with individual donors as appointed by the Development Director

  • Manage and implement donor engagement plans for first-time and retained donors

Data Management and Reporting:

  • Create and follow set processes, timelines, and policies to produce acknowledgment letters and tax receipt mailings

  • Create and maintain data policies and procedures to ensure accurate and error-free data storage and usage, primarily within the GiveSmart and Salesforce platforms

  • Accurately store all contributions and pledges, link soft credits, administer gift entries within the department’s guidelines, and affiliate relationships

  • Maintain clean data in Salesforce for acknowledgment letters and templates using MamboMerge, apply General Accounting Unit designations and source codes, and troubleshoot database errors

  • Create and manage reporting processes for donor data and department KPI metrics, including regular analysis and custom reports to inform department strategies

  • Provide accurate reports on giving metrics and analyze data to identify opportunities, inform strategy, and achieve goals on a monthly, quarterly, and annual basis

  • Reconcile revenue monthly and at fiscal year-end with the Finance department 

  • Collect and compile materials for the annual audit with the Finance and Development departments

Department Support:

  • Prepare and organize materials for the Development Director in alignment with department goals

  • Support the data entry of grant applications alongside the Grants Manager

  • Research and record potential corporate prospects, including data required for assessment, and in-kind donations

  • Serve as a supporting point of contact for donor engagement at receptions and major events alongside the Development Director

  • Update communication materials for donor packets as needed

  • Other duties as assigned to support the development goals for WITS

Physical Demands:

  • Use of routine office equipment

  • Ability to lift file boxes to 20 lbs
